Packages and starting prices

Most vendors on the Romanian ERP market publish no prices at all. We publish a starting price, because a managing director has every right to estimate a budget before entering negotiations. The exact figure comes out of the process audit, in writing, with a defined scope.

These are starting prices. The exact figure comes out of the process audit, in writing, with a defined scope.

The monthly operating fee also follows the audit, because it depends on the size of the system and how much support you need. What it covers is the same in every package: hosting, backups, monitoring, upgrade testing, an agreed number of support hours and keeping up with legislation. It goes into the written offer too.

Do you manufacture but also trade? Then Manufacturing is the base, and the commercial side comes as a second phase or a written extension. You do not pay for two packages.

Custom development is a separate line item: an hourly rate between 40 and 70 euros, or a fixed-price sprint.

    Process audit

    1 to 2 weeks

    We walk through how material, orders and information move today. At the end you hold a process map, a data and integration map, a map of where value leaks out, and a fixed-price offer.

    Exit criterion: the document stands on its own, even if you do not continue with us.

    Fixed-scope pilot

    4 to 6 weeks

    One single end-to-end process goes live — order to invoice, say, or purchase to stock. With the scope, the price and the acceptance criteria agreed up front.

    Exit criterion: the process runs live, people use it, and there is a before-and-after measurement.

  3. 3

    Phased rollout

    module by module

    Finance and master data first, then stock and sales, then manufacturing or projects and management reporting. One module goes live at a time.

    Exit criterion: each module signed off separately, with training and documentation.

  4. 4

    Stabilisation

    to the first month-end close

    We stay with you to the first live invoice, the first stock close and the first monthly management report. This phase is part of the project; we do not bill it separately.

    Exit criterion: a full month has run through the system, with the figures reconciled.

The company does not stop for a single day. That is precisely why only one module goes live at a time.

What happens to your old data?

This is the question that costs the most sleep, so we say up front what we bring over and what we do not. We treat data migration as a paid step, with a trial migration and a reconciliation report, because poor data quality is the single most common reason a go-live slips.

What we bring over

  • the item master, item codes, units of measure
  • opening stock
  • opening balances
  • price lists and discounts
  • orders in progress

The source can be: Excel, WinMENTOR, SAGA, a webshop database, an old bespoke system.

What we do not bring over, and why

Years of transaction history.
The old system stays available as a readable archive. Lifting the entire past multiplies the cost, and carries its errors across with it.
Duplicate and dead master data.
Migration is also a clean-up: the customer entered three times becomes one, and the item that has not moved in ten years does not come across.
Free-text fields with no equivalent.
We look at these one by one: either they get a proper field, or they travel as a note.

What it does not prove: BURA is a bespoke industrial system, not an ERPNext rollout. We are not claiming the two are the same thing.

A reduced price for the first three clients

We build the system for our first three Romanian ERPNext clients at a reduced, so-called reference price, in exchange for being able to publish a case study at the end of the project with real, measurable figures. An open trade: you carry less risk, we get something to point to.

In Romanian and Hungarian, on the ground

We deliver the process audit, the training, the documentation and the support in both Romanian and Hungarian. We work out of Odorheiu Secuiesc, and in Harghita, Covasna and Mureș counties on-site days fit inside the project.

This is not a translation question. A system is alive when the storeman and the shop-floor supervisor understand it, not when the interface has been translated. In our experience rollouts fail on user resistance rather than on technology, and the resistance starts where someone does not dare ask what they are doing wrong.

The system stays yours

Open source.

ERPNext is licensed under GPLv3. There is no per-user and no per-module licence fee. You pay for the service and for running it, not per head.

The data is exportable.

Any time, in a documented format. You do not have to ask us whether you may access your own data.

The handover is documented.

We hand the system over with documentation, and your own team can carry it forward. This is not a promise: it is exactly what happened with BURA.

It can run on your own server.

Our cloud is convenient, but it is not compulsory.

Frequently asked questions

What does it cost exactly?

We publish starting prices. We cannot publish the exact figure, because it depends on how many processes you run and how complex they are. That is what the paid process audit is for: it ends in a written, fixed-price offer with a defined scope. The audit fee counts towards the project.

How long does it take?

The first end-to-end process typically goes live in four to six weeks. The full system is then built module by module, which takes several months depending on how many modules you need. You get a schedule at the end of the audit, not before it.

Does the company stop during the rollout?

No. That is exactly why only one module goes live at a time, and why there is a stabilisation phase running to the first month-end close. The old system keeps running until the new one has proven itself.

Do you already have an ERPNext client in Romania?

No. We would rather say it here than at the third meeting. What we do have: an industrial system live since 2022 across 22 sites, which we built and the client's own team took over, and a ten-person team in Odorheiu Secuiesc. Our first three ERPNext clients get the system at a reduced reference price in exchange for a publishable case study.

Are e-Factura and SAF-T ready?

We have no off-the-shelf module. We build the localisation per project, at a fixed price, versioned, checked with your accountant, and we commit in the contract to tracking schema changes. If you need a working ANAF module today, immediately and without risk, we will say it plainly: several Romanian vendors have more mature ready-made solutions for that.

We supply a large retail chain over EDI. Can you help?

Not our ground, for now. EDI networks and enterprise warehouse management (WMS) are areas where several Romanian vendors have years of documented work behind them, and for an ERP partner starting out this would be a badly chosen first project. If that is your requirement, we would rather say so now than in six months.

Who does the bookkeeping?

Your accountant. We do not replace Romanian accounting and we take on no accounting liability. What we provide: a system that hands the accountant clean data, and our cooperation with them during the rollout.

What happens when we grow?

The licence does not get more expensive per head, because there is no such licence fee. Adding a user is a configuration task. New modules arrive in stages, when you actually need them.

What if we part ways, or you go out of business?

The system is open source, the data is exportable, the handover is documented. Another vendor can take it on, and your access to your own system does not depend on our goodwill. This is written into the contract.

Are you a Frappe partner?

No. Official partnership requires certified staff and proven revenue, and we do not have those yet. When we do, we will say so here.
